What you can automate on WhatsApp

Six jobs that belong on the WhatsApp Business API: appointment booking, instant replies, lead capture, order and payment updates, reminders, and custom workflows.

WhatsApp is not a channel you add at the end. For a lot of businesses it is the front door. The question is which jobs should live there, and which should still be a person.

Appointment booking. Let people pick a service and a slot in the thread, then send the confirmation back in the same chat. This is the flow we built first because missed visits are expensive and the diary is usually a notebook or a WhatsApp group.

Instant replies. Opening hours, price lists, ‘are you open’, ‘do you have stock’. These are the messages that keep a human from typing the same sentence eighty times a day. The bot should answer them and then stop.

Lead capture. A new inquiry should leave a name, intent, and a way to continue, not vanish into a personal phone. Capture into the CRM, then let sales pick up the thread.

Order and payment updates. Dispatched, delayed, paid, refunded. These are template messages with a clear purpose. They work when they are specific. They fail when they are a campaign.

Reminders. 24 hours before a visit. Two hours before. A follow-up the next day. Reminders are why official templates exist: they often fire after the 24-hour session window has closed.

Custom workflows. The useful bot is not a general assistant. It is one sequence you would be willing to receive yourself: a quote request, a refill, a class booking, a site visit.
